Document current processes and procedures

This is often done as part of the system selection process but unless the current business processes and procedures are documented to reflect how the business actually operates vital functions can easily be overlooked when new systems are implemented.

Prepare Enterprise overview (5-10 days)

The Enterprise overview is a statement of intent for the project describing where the business is now and how the new system will be used to implement change to achieve the business goals. This document will be the roadmap for the implementation.

Data Preparation

Current data needs to be analysed and management helped to make decisions on how defunct data can be cleared and how current data can be standardised and organised to produce better business intelligence. Data must be organised and purged before transfer as it is seldom done after the event.

Application Prototyping

Each business function will trial the new system and measure each new function against current procedures and the Enterprise Overview.

Small groups of users will trial the system for each process and procedure within the business. From this exercise any shortfalls in the new systems must be identified. Software modifications required will be identified and specified and a model of how the system will actually be used will be documented.

Services

- Plan, schedule and document prototyping sessions. Problems identified will be recorded, documented and actioned with the system provider.

- A documented model of how the new system will operate will be prepared as the end result of the Prototyping phase.
